Privacy Policy
This Privacy Policy explains how APMG Services (a trading name; registered legal entity and ABN to be confirmed) ("APMG", "we", "us") handles personal information in connection with our online services portal, in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
1. What we collect
Depending on how you use the portal, we may collect:
a. Enquiry details — your name (optional), email address (required), phone number (optional), and the free-text description of the work you submit. Your message may contain any personal information you choose to include, so please avoid sensitive information.
b. Outreach attribution — if you arrived via a link in an email we sent, we record that the link was clicked and associate your visit and any enquiry with the outreach record for the business we contacted, plus the campaign identifier. This links your activity to a known business/contact.
c. Website activity (telemetry) — we record page views and interactions on the portal (for example which service cards you open), a randomly-generated visitor identifier stored in your browser, your browser's user-agent string, and the referring page. This is behavioural analytics used to understand how the portal is used.
d. Cookies — when you follow a tracked link from our email we set first-party cookies ("apmg_ref" and "apmg_ref_campaign", each lasting up to 90 days) so that a later enquiry can be attributed to the correct outreach. Your browser's IP address is visible to our hosting and content-delivery providers as part of normal internet operation.
2. Why we collect it
We collect and use this information to respond to your enquiry and provide quotes and services; to identify which outreach a customer came from and measure whether our outreach is effective; to operate, secure and improve the portal; and to meet our legal obligations, including keeping records of the consent you give.
3. Consent
By ticking the consent box and submitting an enquiry you consent to the collection, use and disclosure of your personal information as described here. We record the version of these documents you agreed to, the date and time, and technical details of your device, as a record of that consent.
4. Who we disclose it to
We disclose personal information to service providers who help us operate the portal and manage enquiries, including our database and hosting provider (Supabase) and our email automation and delivery providers. Some of these providers, or their infrastructure, may be located outside Australia (APP 8 — cross-border disclosure). We take reasonable steps to ensure they handle your information consistently with the APPs. We do not sell your personal information.
5. Direct marketing and unsubscribing
We may contact you about your enquiry and about our services. Every marketing email includes an unsubscribe link, and you can opt out at any time by using it or by replying with the word "unsubscribe". We will action opt-outs within five business days, consistent with the Spam Act 2003 (Cth).
6. Storage, security and retention
Your information is stored in our hosted database and protected by access controls. We retain enquiry records and related activity for as long as needed for the purposes above and to meet our legal and business record-keeping requirements. [Retention period to be finalised with legal review.] We take reasonable steps to protect information from misuse, loss, and unauthorised access, though no online system is completely secure.
7. Accessing, correcting or deleting your information
You may request access to the personal information we hold about you, ask us to correct it, or ask us to delete it, by emailing kane@apmgservices.com.au. We will respond within a reasonable period and may need to verify your identity first. [Note: an automated self-service access/deletion facility is not yet available; requests are handled manually.]
8. Complaints
If you believe we have breached the Australian Privacy Principles, please contact us at kane@apmgservices.com.au and we will investigate. If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
9. Changes
We may update this Policy from time to time. The version in force is shown on the portal, and each enquiry records the version you agreed to.
